Formatting Addresses

Basic Format

Note that the order of the address lines is important:

  • °®¶¹´«Ã½'s address must include a post office box number and zip plus four. If you must also include your office's building and room number, abbreviate it in parentheses immediately after your office's name:

Example: Office of Creative Services (AD-141)
°®¶¹´«Ã½
PO Box 6000
°®¶¹´«Ã½, NY, 13902-6000

  • Items in addresses should be listed in the following order:

Name, Title
College
Department
Institution
Street or Building, Room or Suite
City, State, Zip + Four

  • Campus addresses should begin with the name of the office or department, or °®¶¹´«Ã½ if there is no office or department name. In any case, the campus box number should immediately precede the city. Note the use of the zip + four, which includes the box number.

Sentence form:

  • Use the complete mailing address when information is intended for an off-campus audience. Include area codes if listing telephone or fax numbers. Separate the area code from the telephone number using a hyphen, not parentheses. [607-777-4000 or 607-777-4000]
  • Use the abbreviations Ave., Blvd., St., Dr., Rd., etc. only with numbered addresses [123 Main St., 1600 Pennsylvania Ave.]; spell these words out and capitalize when part of a formal street name without a number [Main Street, Pennsylvania Avenue].
  • Include campus street addresses only for publicizing an off-campus event and for publications intended for off-campus audiences.
  • If you're unsure if you're using the correct PO Box and ZIP for your department or office, please consult Campus Mail Services or the USPS.
  • Use Postal Service state abbreviations in addresses.
  • Campus room numbers should be referred to with the name of the building and the room number, in that order. [Library North 100, Couper Administration Building 148]
